JOB DESCRIPTION
The Office Manager is responsible for supervising the functions of the feed yard office. Manages clerical staff, provides timely and accurate accounting of feed yard activities. Responsible for the specific areas as shown below. Performs customer relations. Assures self and staff at yard adhere to established company policies and procedures.

SPECIFIC RESPONSIBILITIES
1. Daily accounting
• Process and verify invoices generated by feed yard operations. Scans invoices, assist in proper coding.
• Prepare, verify and collect accounts receivable charges.
• Supervise daily feed and vet accounting to insure accuracy.
• Payment of feeder cattle, billing customers and balancing clearing account.
• Supervise daily accounting, entry of information and systems.

2. Financial Reporting
• Prepare month end commodity and pharmaceutical inventory reports to assist in preparation of financials.
• Reconcile and assure proper accounting on hedge accounts.
• Provide reports, spreadsheets and other analytical information.
• Maintain feed yard cattle inventory account.
• Prepare and maintain customer prepaid feed accounts.

3. Administrative
• Serve as a computer technology resource for the location.
• Maintain and submit water, natural gas and other utility usage reports.
• Coordinate necessary local, state and federal reporting and licensing.
• Prepare and submit customer-financing requests. Become aware of all risk management practices employed by the industry. Coordinate company cattle programs with Cattle Risk Manager.
• Assures all laws and compliance with all regulatory requirements.
• Follows and reports on internal controls including, but not limited to segregation of duties, company policies, stays abreast of all relevant policies and corporate procedures.

4. Human Resources/Worker Safety
• Assist HR with new hire process and conducts location orientation.
• Prepare and submit payroll information to corporate HR.
• Assist Safety Director in preparation and submission of workers compensation claims, accident reports, and related issues. Facilitate safety training for the location. Performs as local Safety Officer.
• Communicate all people related issues to local and corporate management as appropriate.
• Maintain BQA certifications and KSU Animal Welfare protocol for all employees at location and facilitate trainings/development.

5. Feed Yard Management
• Assist Feed Yard Manager on such duties as customer relations, cattle sales; handling order buyers; risk management, providing customer tours; etc.
• Assist with farm entity operations. Maintain production and expense records.
• Assist in the purchase of feed ingredients and maintain inventory records.
• Assist in the procurement and payment of corn, high moisture corn, and milo. Coordinate harvest schedules and activities.

6. Engaged in companywide improvements of systems & people. Other projects and duties as assigned.
